Full Job Description

These Dual Brand properties- Hampton Inn & Suites/Homewood Suites Downers Grove are accepting applications for a Sales Coordinator. This individual will join a well-established group of motivated, successful sales professionals.

BASIC PURPOSE: The Sales Coordinator will assist with all sales functions as directed by the Director of Sales or GM.

FUNCTIONS/RESPONSIBILITIES:

DAILY SALES COORDINATOR TASKS (5 DAYS PER WEEK) MAY INCLUDE:

  • Participate in daily stand-up meeting / manager’s meeting
  • Ensure meeting room is set properly; assign staff to assist with breaks
  • Visit in-house clients to greet and ensure all needs are met or exceeded
  • Complete a minimum 5 proactive sales calls daily and or publicity calls (between 9 am – 11:30 am). No other work should be completed during this time… proactive selling only!
  • Complete social media campaigns as directed to promote hotel rooms
  • Complete follow up calls on outstanding tentative agreements
  • Complete follow up calls on definite upcoming groups (for rooming lists, cut-off dates, etc.)
  • Complete proposals, tentative & definite contracts within 24 hours of contact with the guest
  • Complete Loss of Business reports through Delphi.fdc
  • Enter definite group blocks into Delphi.fdc & OnQ R&I
  • Contact past groups to determine future needs
  • Complete research on potential groups and transient business (for future proactive calls)
  • Verify billing, posting of meeting revenues, & collect payment from in-house groups
  • Respond to incoming meeting and sleeping room inquiries using the SUN GROUP INTAKE SHEET (avoid having guest transferred to voice mail if possible)
  • Conduct site tours for potential guests as well as walk-ins
  • Complete LNR and Group tracking as directed; review with GM/FOM for accuracy
  • Organize your office for tomorrow, including a detailed plan of attack
  • Other Tasks as needed to market hotel in community

WEEKLY DUTIES MAY INCLUDE

  • Send out property critiques to recently departed groups to solicit feedback & rebook
  • Complete VIP gift baskets and welcome gifts as needed
  • Complete and E-Mail Weekly Sales Summary as directed

MONTHLY DUTIES MAY INCLUDE

  • Review end of month LNR & Group tracking reports, SOB (Source of Business) and Final Pace Reports for the month
  • Update Marketing Plan Quarterly Sales Strategies.
  • Review packages sold on brand website ensure items for packages are available for GSAs
  • Review and update brand website (photos, packages, amenities, etc.)
  • Review and update 3rd party websites for proper amenities, pictures, driving directions, etc.

When asked, must be willing to assist in other departments as the needs of the property arise, and as requested by a supervisor

KNOWLEDGE AND SKILLS:

Education: No college education required

Experience: Experience in hospitality sales and/or preferred but not required

Lifting/Pushing/Pulling/Carrying:

Position does not require a great deal of lifting/pushing/pulling or carrying, aside from the normal functions required in an office setting

Bending/Kneeling:

Functions of this job includes a minimal amount of bending, stooping and kneeling during a shift.

Mobility:

Total mobility is required, with outside sales visits, property tours and competitive set driving occurring at the direction of the GM

Standing/Walking:

Position may include a normal amount of standing and walking during a shift

Climbing Stairs:

May require climbing of moderate amount of stairs

Hearing/Vision/Speech:

  • One-on-one communication with guests, supervisors, and coworkers is critical
  • Must be able to receive, understand and give directions within the Sales and Front Desk Departments
  • Must be able to clearly communicate property, company and contract information to clients
  • Must have exceptional written and verbal skills, as well as ability to compose professional and articulate emails and written communication
  • Must be able to understand, compile and submit reports in an efficient manner
